Volunteer Job Descriptions

The Barracuda’s run the meet in shifts. The meets start at 8:00 a.m. and run until the meet ends. Shifts are typically 2 hours in duration, and 3rd shift covers 12PM to the end of the meet regardless of end time (sometimes it is 12:30 and other times it is 3:30). All volunteers should picked up their nametag by 7:45AM, and address any discrepancies in the volunteer schedule as soon as possible.

Once committed to a shift, it is your responsibility to cover/find a sub for any shifts you may miss. The Volunteer Coordinator will provide list of team members for the season upon request.

The Team is completely reliant our parent volunteers for our meets to run smoothly, please be sure to fulfill your requirement as you selected them at the start of the season. If you miss a shift, keep in mind that the team has to scramble to cover those shifts, and it is a requirement in order for your child to be allowed to swim. If you miss your shifts without notification or just cause, you put your child’s eligibility at risk.

These volunteer Positions are described below and you can sign-up for any of these during online registration at the beginning of each season (see Stroke Judge below for specifics on this position).


Set-Up/Clean Up:

Home Meets: Help Set-Up night prior to home meet. Usually during Coaches Dinner, but the shift will designate the time you are to be there helping. Clean-Up after the meet is done - help take down tents, move lawn chairs back to position, help clean, etc - this is a moving target for timing depending on when the meet is complete.

Away Meets: Get Team Tents out of our shed at the pool - these are two gray large bags that have a tent with our logo on them. Set-Up prior to our team arrival in our Away Team designated spot. Tent take down is also a moving target deepening on the time the meet is complete. Please coordinate with fellow families to get an idea on this timing if you leave the meet early and need to come back.  It is important to note you need an SUV to transport the tents to and from. 


CONCESSIONS:

Assists in selling donuts/bagels, coffee, soda, and other goodies during the home swim meets.

PRE MEET FOOD RUN: Get necessary food, ice, burritos from designated retailer PRIOR to the meet start. Preferably by 7am. Coordinate with the Concessions Managers if you have questions.

GRILLER:

Fills a 2 hour shift on the grill at home meets.

TIMER:

Time individual and relay events using provided timer.

BACK-UP TIMER:

One slot per shift, times every event in case one of the regular timers has trouble with their stop watch.

RUBBER DUCKY/TICKETS:

Provide a raffle ticket to the winner (or winners if it is a relay) in each heat. The swimmer(s) can then go pick out a rubber ducky as a prize. 

STARTER:

Announces each heat for the events starts the swimmers and notes any infractions prior to the swimmers leaving the wall. A starter is only needed for home meets. The Starter is required to complete RMSL training and usually recommended to be a seasoned swim team parent.

STROKE JUDGE:

Watches the swimmers and determines that the correct strokes are being used. The Stroke Judges are required to complete RMSL training each year of service.

CLERK OF THE COURSE:

Needed for all home meets and organizes the swimmers in the heating area prior to the events and communicates combined heats to the starter. This position is recommended for seasoned parents interested.

HEATING:

Needed for all meets and organizes the swimmers in the heating area prior to the events. Heating area is led by the teams Clerk of Course. They use the program to line up all the swimmers in their correct events, heats, and lanes.

ON-CALL VOLUNTEER: These positions are at the ready to fill in where needed throughout the day.

VOLUNTEER COORDINATOR:

Reviews weekly volunteer list. Makes sure all shifts are covered by calling available volunteers to cover open shifts, and communicating with families that they are responsible to cover any shifts they are not able to fulfill. Email shift assignments by the Wednesday prior to the meet, and print nametags including shift information for meet mornings. Be available throughout the day to be sure all volunteers are checked-in and fulfilling their assignments. If someone is not available for their shift, you work with the President to get shifts covered.

SWIM TEAM PARENT REPS:

The team is led by parent volunteers committed for 1 year. If you are interested in this position to help your swim team continue its’ success, see the current year representatives to discuss what it involves.

SOCIAL ACTIVITIES:

There are social activities planned throughout the summer that require volunteer help. If you are interested in helping with Bingo Night, Pirates Cove, Movie Night, end of the season awards ceremony, or any other social event, please let the current Parent Reps know.
